This policy explains how PORTOVA LTD ("Portova", "we") handles personal data when you visit portova.com or get in touch with us. We are the data controller for this data.

What we collect
When you use the contact form: your first and last name, work email, company, country, the goal you choose, your message, any file you attach (such as an RFP or brief), and whether you ask for our newsletter. We also record the page you sent the form from.
When you browse the site: with your consent, analytics and advertising cookies collect information about how you use the site, such as pages viewed, device and browser type, approximate location and the ad or link that brought you here. See our cookie policy.
Security data: our hosting provider processes your IP address to protect the site from abuse, and we use it briefly to limit repeated form submissions.

Who we share it with
We use trusted providers who process data on our behalf and under contract:
- Cloudflare — hosting, content delivery and security.
- Resend — delivering form submissions to our inbox by email.
- Google (Tag Manager and Analytics) — site analytics, only with your consent.
- Meta — measuring our advertising, only with your consent.
- Our CRM or project tool — so we can follow up on your enquiry.
We do not sell your personal data.
International transfers
Some providers process data outside the UK, including in the United States. Where they do, we rely on the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or the UK-US data bridge.
How long we keep it
We keep enquiries for up to 24 months after our last contact, unless they lead to a working relationship, in which case we keep them for the length of that relationship plus six years for legal and accounting reasons. Newsletter data is kept until you unsubscribe. Analytics data is kept for up to 14 months.
Your rights
You can ask to access, correct or delete your data, to restrict or object to how we use it, or to receive it in a portable format. You can withdraw consent at any time. Email hello@portova.com and we will reply within one month.
If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk.
Changes
We will update this page if our practices change. The date at the top shows when it last changed.
